Why Referrals Get Lost — and Why Confirming Changes Everything
Most patients receive a referral from their GP and then passively wait for a call from the specialist's office. This is the single biggest mistake Canadian patients make when navigating specialist wait times.
Fax failures are common
The majority of Canadian specialist referrals are still sent by fax. Fax machines fail, run out of paper, and send to wrong numbers. A failed fax generates no automatic notification — neither you nor your GP knows it did not arrive.

How to Confirm Your Referral — Step by Step
Follow these steps in order. The whole process takes about 5–10 minutes and should be done within 2 weeks of your GP sending the referral.
Get the specialist's contact information from your GP before leaving the appointment
Before you leave your GP's office after getting the referral, ask for the name and phone number of the specific specialist or clinic the referral was sent to. Ask for the fax number as well — you may need it if the referral gets lost and needs to be resent.
If your GP does not know the specific specialist yet — for example, if the referral was sent to a department rather than a specific physician — ask when you should expect to hear back and who you should call if you do not.
In Quebec, referrals often go through a GMF (Groupe de Médecine de Famille) coordinator rather than directly to the specialist. Ask your médecin de famille: "La référence va directement au spécialiste ou passe-t-elle par un coordonnateur GMF?" (Does the referral go directly to the specialist or through a GMF coordinator?) Get the contact information for wherever it is going.

Ask these 3 questions before hanging up

Question 1: "What is the current estimated wait time for new patients with my type of referral?" Write down the exact answer and date.

Question 3: "Can I get your name and a direct number in case I need to follow up?" Write this down before hanging up.
